Maintenance

Maintain credentials, schema contracts and safe changes to the live collection system.

Access and credentials

Airtable access is enforced by base sharing, and n8n access by project and credential permissions. Membership.Access Level is business data, not an access-control implementation. The Slack app requires the methods used by the workflows to be authorized; files:read was explicitly authorized for evidence collection. Recheck the installed app scopes before reinstalling or widening access. Check individual collaborator grants in the base’s sharing settings.

The signing secret verifies the installed app’s requests. Workspace tokens come from Tool Account through the cache. Store neither in public MDX, screenshots, source examples nor execution payload logs. Cache Data Table access also exposes credentials.

Change workflow or schema

  1. Preserve a private workflow backup and identify the affected schema contract.
  2. Review field IDs, types, formulas and inverse links. Names alone may be stale; the workflows use fixed field IDs.
  3. Daily Digest is live and unrestricted. Set dryRun to true before any test run and back to false before 09:00. Refresh the intended workspace cache.
  4. Verify modal opening, save/edit behavior, evidence transfer and original message synchronization with one person who agreed to help.
  5. Verify cross-workspace item pairing in the dry-run Message rows before sending for real.
  6. Record the change and validation evidence; update both documentation languages.

Rollback restores a known workflow version but does not automatically reverse Airtable writes or Slack messages. Reconcile external side effects separately.

Release readiness

Daily Digest has sent real messages since 2026-10-26. Read Communication Message each morning: Sent rows with real Slack identifiers, and the reason on every Failed row. Failed rows are not retried, so follow up with those people by hand until the retry is built. Inspect intake warnings; filters are not write constraints. Check cache invalid-entry counts and source ambiguity. Clarify historical edits and target-version snapshots before promising immutable audit history. The previous Make workflow is historical; the active collection path is n8n. The base has no native Airtable automation.
