Maintain the catalog

Review checks, report issues and change the schema without breaking the CRM's Offer mirror.

Reviewed 2026-11-04Markdown

The Products & Services maintainer recorded in Systems Central owns catalog structure and data quality. Sellers in the CRM own the deals that propose offers. Core maintainers own company and tag facts. No response SLA or on-call owner is recorded.

Regular review

Use the creation intakes for Draft records. For regular review, open Catalog in each table and check Active records by hand:

  1. Offer → Catalog: every Active offer has a blank Offer Check, one Product* and one Seller*. An offer past Valid Through° that is still Active is not flagged; look at the dates.

  2. Price List → Catalog: every Active list has a blank List Check and at most one Is Default° per channel and currency.

  3. Product Component → Catalog: every Active line has a blank Component Check and one product in Product* and in Includes*.

  4. Product → Catalog: every Active product has a Product Type*, so Kind is not blank, and at most one Category° and Brand°.

  5. Brand and Product Category → Catalog: read Brand Check and Category Check, review naming duplicates and archive unused records without deleting their links.

Report an issue

This base has no Feedback table. Report catalog problems in Systems Central: open Data → Feedback, add a row, choose the Products & Services system and describe the table, the row, the action, the expected result and the observed result. Saving the row does not guarantee a notification or a response time.

Change safely

The CRM’s Offer mirror and its Deal lookups read Price*, Item (Name), Unit* and other Offer columns. Renaming, retyping or deleting an Offer field can break the mirror mapping or the CRM lookups even when this base still looks fine. Before any Offer change, list the CRM fields that read it and check them after the sync.

Keep field descriptions current: the human block is what people read in the cell. The retired “- OLD” columns are tracked for removal by the Work Item “Remove leftover ’ - OLD’ attic fields after a dependency check”; check dependencies before deleting any of them.

Verify and retire

Never delete a catalog row that something may point at; set it to Archived. After a correction, check the inverse columns (Offers, Components, Component Of, Products) on the linked rows. Refresh this documentation after any field, view, sync, automation, permission or lifecycle change.
