Maintain Systems Central
Weekly review, safe changes and the triggers that require refreshing this documentation.
Reviewed 2026-10-28Markdown
The Systems Central maintainer is the Maintainer on the Systems Central System row. Maintainers of the other systems keep their own System, Record Type and Feedback rows current. Agent sessions keep Work Items current. No on-call owner or response time is set.
Weekly review
- Work Item: open items without a System, Waiting items whose Waiting On is stale, In Progress items nobody touched, and unticked Checked rows to review. See Keep work items current.
- Feedback: rows with a non-blank Key Check, rows with no key, open rows past Due Date. Each System’s Overdue Feedbacks shows where to look.
- Record Type → Need Attention: work down the Review Notes.
- System Rule: review in per Scope; tick Checked once wording, links and Enforced By are confirmed.
- System: every row has a Maintainer, a Tool and a Sync Key or a reason for none.
Change safely
- Sync Key and System Key move together. Changing one alone breaks routing and raises Key Check on every linked row.
- Do not edit sync-source views. CRM - Feedback (dont change the filter) feeds the CRM; its filter and visible fields are a contract.
- Mirrors are read-only. Correct people, organizations and tags in Core, and tools in Tooling and Access.
- Before renaming a field, check lookups and formulas in this base: Key Check reads System Key and Sync Key (from System); Name on Architecture Decision reads ADR Number and Title.
- No secrets in rows. URL and External Identifier hold addresses people open, never a webhook address or a token.
- Never delete Work Items, Feedback or decisions; close or archive them.
Refresh this documentation when
A table, field, select option, view or automation changes; a System row is added or renamed; a sync is added, removed or re-pointed; or the Membership name lookups are restored. Pull the live schema, views and automations again, update these pages, and set verifiedAt.
