Bind an account to a person
Record who stands behind a tool account and which membership it serves, and close it when that changes.
Reviewed 2026-10-28Markdown
Outcome: the account has exactly one open Identity Binding that names the person and the membership behind it. Slack notifications, the inactive Email Logging workflow and future consumers read the person from this binding, never from a name or an e-mail address.
Before you start
- The account exists in Tool Account. If not, register it first.
- You have evidence: the tool’s admin page or a confirmation from the person.
- The person exists in Core and has reached Person (mirror); for a mailbox or seller account, the membership has reached Membership (mirror). Both mirrors are read-only: create missing people and memberships in Core.
Steps
- Open Data → Identity Binding → Grid view (or Cal.com bindings for Cal.com accounts) and search for the account.
- If an open binding (Valid Through blank) names someone else, set its Valid Through to the moment it stopped holding. Do not delete it.
- Add a row: link one Account, one Person and the Member the account serves. Enter Valid From when the binding started to hold.
- For a bot or service account, link only the Account. A shared login has no single person; leave Person blank.
- A person with memberships in two units needs two accounts and two bindings, one per membership.
Check the result
- Name reads
Binding # - Person. - On the Tool Account row, Bound Person shows one person, Bound Membership shows the membership and Bound Membership ID shows one number.
- The account has one binding without Valid Through.
Recover
- Bound Person shows two names: two bindings are open or one binding links two people. Close the stale one or correct the links.
- The person was wrong from the start: correct Person. The table description mentions evidence, but there is no evidence field; tell the maintainer where the evidence is.
- A future Valid From does not delay use: the Slack resolver ignores Valid From. Create the binding only when it already holds.
- The person is missing from the picker: add them in Core and wait for the mirror.
